Organization with Tags

Tags are a powerful way to organize your notes in WhichNotes. Unlike folders, a single note can have multiple tags, making it easy to categorize notes in different ways.

What Are Tags?

Tags are labels you add to notes to categorize them. Think of them as keywords that help you:

  • Group related notes together
  • Find notes quickly
  • Organize by project, topic, or context
  • Create flexible organizational structures

Adding Tags

While Creating a Note

  1. Write your note
  2. Type # followed by the tag name (e.g., #work)
  3. Tags appear as colored badges
  4. Add as many tags as needed

To Existing Notes

  1. Open the note
  2. Click the tag input field
  3. Type your tag (with or without #)
  4. Press Enter to add
  5. Click the × to remove tags

There's no limit to how many tags you can create or use!

Managing Tags

Renaming Tags

Currently, tags cannot be renamed globally. To change a tag:

  1. Find all notes with the old tag (search: tag:oldname)
  2. Manually update each note
  3. Remove old tag, add new tag

Tip: Keep this in mind when creating tags - choose names thoughtfully!

Deleting Tags

Tags automatically disappear when no notes use them. To remove a tag:

  1. Remove it from all notes that use it
  2. The tag will no longer appear in suggestions

Cleaning Up Tags

Regularly review and consolidate:

  • Merge similar tags (#js + #javascript#javascript)
  • Remove unused tags
  • Fix typos in tag names

Tag vs. AI Topics

Tags (Manual):

  • You add them
  • Consistent structure
  • Your organizational system
  • Persist unless removed

Topics (AI-Generated):

  • AI extracts them
  • Automatic
  • Based on content
  • Update when content changes

Common Questions

Q: Can I have tags with spaces? A: No. Use hyphens instead: #meeting-notes

Q: How many tags should I use per note? A: 2-5 tags is usually optimal. Too many dilutes organization.

Q: Can I make tags private? A: All your notes and tags are private by default. Only you can see them.

Q: Will tags show in search? A: Yes! Notes are searchable by their tags.

Q: Can I see all my tags in one place? A: A tag management panel is planned for future updates.

Tips for Effective Tagging

Start Small

Don't overthink initially. Start with 5-10 main tags and expand as needed.

Review Periodically

Every month, review your tags:

  • Are you using them consistently?
  • Do any need merging?
  • Are there gaps in your system?

As you type, WhichNotes suggests existing tags. Use them to maintain consistency.
